Position Summary/Job Description

We are looking for an Executive Admin to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.


This person will be responsible for supporting all office and administration activities, providing overall assistance for Seismos’ executive management, providing financial/bookkeeping  support, coordinating office purchasing, and providing general administrative and human resource support to our employees.


Ultimately, he or she should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations. A successful executive admin should be able to accurately handle administrative duties, be proactive and take initiatives and have a high-level duty of confidentiality.

 

Essential Duties & Responsibilities


  • Knowledge of office administrator responsibilities, systems and procedures 
  • Basic understanding of accounting - handling and organizing the account receivables/payables
  • Provide essential human resources support
  • Provide event-management support
  • Excellent time management skills and ability to multi-task and prioritize work
  • Other duties as assigned

 

Education & Experience (knowledge, skills and abilities)


  • 5-10 years of related CEO-admin support experience required
  • College education preferred
  • Excellent organizational and planning skills in a fast-paced environment
  • Excellent written and verbal communication skills
  • High attention to detail and problem-solving skills
  • Proficiency in MS-Office

 

Work Environment & Travel


  • Standard office environment
  • Occasional travel to conferences, client meetings, remote team meetings (< 30%).
